Terms of Service

These terms govern your use of Coinvoice ("the Service"), operated by Coinvoice ("we", "us", "our"). By creating an account or using the Service, you agree to these terms.
1. The Service
Coinvoice is an online invoicing platform that allows freelancers and small businesses to create, send, and manage invoices, track expenses and time, accept payments, and generate financial reports.
2. Accounts
You must provide accurate information when creating an account. You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account. Notify us immediately if you suspect unauthorised access.
You must be at least 16 years old to use Coinvoice. By using the Service, you represent that you meet this age requirement.
3. Free and Pro Plans
Coinvoice offers a free plan and a paid Pro plan. The free plan includes unlimited invoices and all core features for up to 25 clients. The Pro plan unlocks additional features including recurring invoices, team access, and advanced reports.
Pro plan pricing is £4.99/month or £39.99/year. Prices may change with 30 days' notice. Existing subscribers will be grandfathered at their current rate for at least 12 months after any price increase.
4. Payments and Billing
Pro subscriptions are billed in advance on a monthly or annual basis via Stripe. You authorise us to charge your payment method on file for recurring subscription fees.
You may cancel your subscription at any time from the Settings page. Cancellation takes effect at the end of the current billing period. You retain Pro features until then. We do not offer partial refunds for unused time within a billing period.
5. Your Data
You retain ownership of all data you create in Coinvoice, including invoices, client information, expenses, and time entries. We do not claim any intellectual property rights over your content.
You grant us a limited licence to store, process, and display your data as necessary to operate the Service. This includes sending invoices to your clients on your behalf and processing data through AI features you choose to use.
You can export all your data at any time in CSV and PDF formats, including on the free plan and after cancellation.
6. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose.
- Send fraudulent invoices or misrepresent the goods or services being billed.
- Attempt to gain unauthorised access to other users' accounts or data.
- Interfere with or disrupt the Service or its infrastructure.
- Use automated tools to scrape, crawl, or extract data from the Service beyond the provided API.
- Resell or redistribute the Service without our written permission.
We may suspend or terminate accounts that violate these terms.
7. Payment Processing
Coinvoice integrates with Stripe and PayPal to enable your clients to pay invoices online. Payment processing is subject to the terms and privacy policies of these providers. We are not responsible for payment processing failures, chargebacks, or disputes between you and your clients.
You are responsible for complying with all applicable tax laws and regulations related to the invoices you issue through the Service.
8. AI Features
Coinvoice offers optional AI-powered features including voice-to-invoice, photo-to-invoice, expense categorisation, and payment predictions. These features are provided as-is and may not always produce accurate results. You should review all AI-generated content before sending invoices or relying on predictions.
9. Service Availability
We strive to maintain high availability but do not guarantee uninterrupted service. We may perform scheduled maintenance with advance notice. We are not liable for any loss or damage resulting from service downtime.
10. Limitation of Liability
To the maximum extent permitted by law, Coinvoice is not liable for any indirect, incidental, special, consequential, or punitive damages, including lost profits, lost revenue, or lost data. Our total liability for any claim arising from your use of the Service is limited to the amount you paid us in the 12 months preceding the claim.
The Service is provided "as is" without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement.
11. Account Termination
You may delete your account at any time from the Settings page. Upon deletion, we will remove your personal data within 30 days in accordance with our Privacy Policy.
We may terminate or suspend your account if you violate these terms or if required by law. We will provide reasonable notice where possible.
12. Changes to These Terms
We may update these terms from time to time. We will notify you of material changes by email or by posting a notice in the app at least 30 days before the changes take effect. Your continued use of the Service after changes constitutes acceptance of the updated terms.
13. Governing Law
These terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales, except where consumer protection laws in your jurisdiction grant you additional rights.
